Marketing Proposal Coordinator
An experienced Proposal Specialist is needed to support sales professionals in the development of high quality, compliant and timely proposals. This role will manage the production of all parts of a proposal package as well as the print, assembly, quality control coordination and delivery tracking. Project management skills are required to keep projects on-track and on-time in responding to a high volume of formal and informal requests for quote / information / proposal. This role will work alongside the Creative Services Manager and Director of Marketing as well as members of the sales team to refine processes and tools and evolve CSC’s proposal process across the enterprise.
Primary Job Functions:
- Lead proposals through the development process, working with various teams to identify and resolve issues so proposals are submitted on time in the most accurate and responsive manner to clients
- Assist with data entry for RFI’s, RFP’s, and RFQ’s, including preparation of cover letters
- Utilize, organize and update content management database as needed
- Generate custom copy for proposals and presentations, including writing/editing text, design layout, custom graphics and charts with minimal oversight
- Work closely with our sales and marketing teams to create compelling responses and content that conveys CSC’s strengths and conforms to all submission requirements
- Adhere to company’s standards and creative style guide to ensure documents are submitted in accordance with established criteria
- Oversee printing, assembly, final quality assurance review, submission and delivery tracking
- Proofread and edit proposals for grammar, punctuation, capitalization, clarity, readability, consistency and persuasiveness
- Apply lessons learned from proposal experience to collaborate with team members to streamline and improve the proposal process across different teams
- Create and maintain proposal folders and back up documents according to department standards
- Assist sales team with various tasks, as needed
Experience:
- Minimum 2+ years of experience with proposal writing / sales support
- Strong writing, proofreading and communication skills
- Works well under tight deadlines with the ability to be flexible and adapt in order to consistently meet established deadlines.
- Proficiency of Adobe InDesign, and Microsoft products including Word, Excel and PowerPoint
- Strong organizational skills and ability to work on multiple tasks simultaneously
- Detail-oriented and organized, with exceptional prioritization skills
- Respect for confidentiality concerning customer information and company records
- Works effectively with others in the company to encourage teamwork and productivity among team members and managers
- Able to integrate knowledge from existing content, interviews with subject matter experts and relevant company experience to develop concise responses
- Ability to thrive in a deadline-drive environment with high attention to detail and compliance is required
- Willingness to learn and perform new tasks as required
Education/Training:
- Associates degree or higher preferred
- Experience with proposal management tools a plus but not required
